ICDE 2026: Visa Information
Visa
It is the sole responsibility of the attendee to take care of his/her visa requirements. Attendees should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. The Organizer will not directly contact embassies and consulates on behalf of visa applicants. The registration fee, minus a handling fee of 150 USD will be refunded after the conference if the visa was applied for in time and official proof of the embassy confirming that a visa could not be granted, is forwarded to the Organizer in writing no later than April 27, 2026. No refund requests will be processed after this date. Refunds will be credited only to person/entity who/which paid the original registration and after the conference.
Letters of Invitation
You may need a Letter of Invitation to apply for a visa to Montréal. Invitation letters for visa purposes will be issued to registered and paid delegates. Registration will be open Dec 2025. Requests can be made directly on the registration portal. Requests for more specific letters (indicating date of birth, passport number, etc) can be made to Mostafa Milani (mostafa.milani@uwo.ca) and Jelle Hellings (jhellings@mcmaster.ca). Please allow us 2-3 business days to process your request. Kindly note that an invitation letter for visa purposes does not imply any obligation, financial or otherwise, by ICDE 2026.

Application Types Most foreign nationals need a temporary resident visa (TRV) or an Electronic Travel Authorization (eTA) to travel to Canada. Important Information: Special Event Codes
ICDE 2026 is registered at the Immigration, Refugees and Citizenship Canada (IRCC). Events registered with IRCC are issued with a unique Special Event Code to help track and coordinate visa processing. Visa applicants must tag their applications with the ICDE 2026 Special Event Code, which can be found in the letter of invitation you have received from ICDE 2026 organizers once you have completed and fully paid your registration. TRV applications are considered on a case-by-case basis based on the information presented by the applicant. The onus is on the applicant to demonstrate that they meet the requirements for a TRV. While a Special Event Code has been assigned to the event, it does not offer any advantage to the applicant in terms of a positive visa outcome. The applicant must meet all eligibility criteria to receive a visa.

Visa Processing Times
If you require a visa to travel to Canada, you must verify visa processing times for your region and apply for your visa accordingly. Please note that processing times for visa applications posted online are historical, meaning they’re measured based on how long it took to process 80% of applications in the past 6 – 8 weeks. As a result, processing times may be different than those posted online at the time of application submission. Participants are strongly encouraged to apply as early as possible ahead of their departure date in order to allow sufficient time for their application to be processed and if approved, subsequent visa issuance in their passport. It is important for international invitees to be familiar with the TRV and eTA application processes. Understanding the different processes will contribute to ensuring that invitees to events in Canada have a smooth application experience.
